Clinical trials have always depended on data. What has changed is the volume, speed, and complexity of that data, and the systems needed to manage it. For years, clinical data management centered on a relatively simple model: collect data in an electronic data capture system, review it, clean it, and prepare it for analysis. That model worked when most study data came from a limited number of sources. Modern trials look very different. ### From EDC-centric to multi-source trials EDC remains a core part of clinical research, but it is no longer the only meaningful source of study data.Today, trials may also generate data from laboratories, imaging systems, eCOA platforms, wearable devices, randomization systems, safety databases, and other specialist technologies. As these sources multiplied, clinical teams increasingly had to move, reconcile, and review data across separate systems. The challenge shifted from simply capturing data to bringing fragmented data together in a usable way. ### The rise of the clinical data platform Modern clinical data platforms emerged in response to that fragmentation. Rather than treating each source as an isolated dataset, these platforms are designed to bring data together, standardize it, and make it available for review and downstream use.The goal is not necessarily to replace every specialist clinical system. It is to provide a common data layer across them. That can help teams: - Reduce manual data transfers and reconciliation. - Review information across multiple sources in one place. - Give clinical, data management, and operational teams a more consistent view of the study. ### From systems of record to connected data The evolution of clinical technology is increasingly about connectivity. Individual applications will continue to serve important purposes. EDC will capture case report form data. Other systems will handle specific workflows and data types. But the value of the broader clinical data environment depends on how well those systems work together. The modern clinical data platform reflects that change in thinking: from managing individual databases to managing the flow of data across the entire study. And as trials become more digital and more data-intensive, that shared layer is becoming increasingly important. ## How CTMS and EDC should share a single source of truth - URL: https://triora.ai/articles/how-ctms-and-edc-should-share-a-single-source-of-truth - Authors: James Okonkwo - Year: 2026 - Venue: 28 Jan 2026 - Type: News When enrollment numbers and case data disagree, the study pays twice — once in time, again in trust. Clinical trial management systems (CTMS) and electronic data capture (EDC) systems were built to solve different problems. The CTMS helps teams manage the operational side of a study: sites, milestones, enrollment, monitoring, and study progress. The EDC captures the clinical data generated by the trial. That separation makes sense at the application level. It becomes a problem when it creates two competing versions of the study. In the classic de-integrated model, information moves between CTMS and EDC through manual updates, periodic imports, spreadsheets, or loosely connected integrations. Each system can appear internally correct while telling a different story about what is actually happening in the trial. The better model is not to make CTMS and EDC identical. It is to make them agree on the facts that matter. ### 1. Two systems should not create two versions of the study Consider something as basic as enrollment. A site may have screened 40 participants and randomized 25 according to the EDC, while the CTMS still shows 36 screened and 22 randomized. Neither number is necessarily the result of a major error. The difference may simply reflect timing, manual entry, different definitions, or a delayed data transfer. But somebody still has to resolve it. Teams start comparing reports, emailing sites, checking source systems, and updating spreadsheets. Instead of using the data to manage the study, they spend time determining which data they can trust. The classic model creates three recurring problems: - Duplicate data entry. The same study activity is recorded in multiple places, increasing administrative work and the opportunity for inconsistency. - Reconciliation work. Study teams repeatedly compare systems to determine which value is current, correct, or complete. - Delayed decisions. Operational decisions are made from snapshots that may already be out of date by the time discrepancies are identified and resolved. ### 2. Integration is not the same as having a single source of truth Connecting CTMS and EDC is an important step, but simply moving data between systems does not automatically solve the problem. A traditional integration may periodically copy an enrollment number from one system into another. But questions remain: Which system owns that number? What happens if somebody changes it manually? How quickly will the change propagate? What happens when the two systems apply different definitions? A single source of truth requires clearer rules. For every shared data element, the study should know where that information originates, which system is authoritative, and how downstream systems consume it. If subject status is determined by clinical activity captured in the EDC, for example, operational systems should be able to use that status without requiring teams to recreate it independently. This shifts integration from synchronizing databases to sharing trusted study facts. The distinction matters. Synchronization asks, “How do we keep these two fields aligned?” A single-source-of-truth approach asks, “Why are two systems independently maintaining this fact in the first place?” ### 3. The goal is a shared operational picture CTMS and EDC will continue to serve different users and workflows. That is useful. Study managers need an operational view of the trial, while data management and clinical teams need detailed participant and case data. The opportunity is to connect those views around a common study reality. When authoritative data can flow automatically into the systems and workflows that depend on it, operational reporting becomes more current. Sites receive fewer requests to explain discrepancies. Study teams spend less time reconciling information and more time responding to what the information is telling them. Most importantly, confidence improves. A study team should be able to ask a straightforward question—How many participants have enrolled? Which sites are behind? Where is activity changing?—without first asking which system has the right number. That is what a single source of truth should provide. Not one giant system that does everything, but a connected architecture in which every important study fact has a clear owner, moves reliably, and means the same thing wherever it appears. Because when CTMS and EDC disagree, the cost is not just another reconciliation task. It is uncertainty about the study itself. # Offices ## United States - URL: https://triora.ai/offices/unitedstates Founded in 2016, driving enterprise AI innovation for modern clinical research.
